HOW TO ORGANIZE A VIRTUAL RACE WITH SELF-REPORTED RESULTS

Do you want to organize a virtual race where participants sign up online, do their own self-timing of the race course or distance, and then report the results online?  If so, follow these steps:

1. Create a new event
    - Navigate to Organizers / My registrations
    - Click on the "Add an event registration" menu button
    - Use these virtual race options in reg setup

2. Detail how to self-report the results in the "Event notes" and in the "Confirmation email"

3. Post / email the reg page link to your participants as usual
    - When registering, the participants will be required to create a Webscorer account
    - After signing up for the event, participants will report their own results via "My racer profile"
    - Note that the racer profile can be "Private" or "Public"
    - Participants can edit their race time via the profile until the specified event date / time in reg setup
    - Note that the event time is listed as the "Start time" on results which may be confusing
    - The "Start time" for virtual race is used as the cutoff for submitting results

 4. The results page is created automatically when the first racer self-reports the results
    - The results can be found on Organizers / My results and on your "Organizer page"
    - The results page is created as "Public" by default, you can change this via "Edit race info"
    - The results will include all participants who've signed up thus far
    - As participants self-report their results, the results page is updated automatically
    - The results are shown as "Preliminary" until the organizer marks the results as "Final" via "Edit race info"
    - Racers can continue to submit their results until the "Event date / time" has passed
    - The organizer can make edits at any time by clicking on the "Edit results" menu button

 

5. Notes for the option "Organizer enters race times manually..."
   
- Participants do not need a Webscorer account in order to register
   - Results reporting can happen via email or text etc.
   - The results page still gets created automatically when the first participant registers
   - The organizer can enter the race times manually:
      - Navigate to the results page under Organizers / My results
      - Click on the "Edit results" menu button
      - Click on the "Edit" button to the right of the participant's name
      - Enter the race time in the "Finish time" field
      - Change the "Completed" status to "Yes" from "Not yet finished"

6. Limitations

   - The participant results are reported as a single time, so races with laps are not supported
   - You can add "Team scoring" via the "Edit race info" option on the results page
   - Your virtual race can be part of "Results series" as usual
   - The "Edit results" feature for virtual races is also available for all non-virtual results pages (with no laps)
   - You can also update the results by downloading the virtual results to the app & repost
   - Or, you can download the virtual results as XLS, make the edits in Excel & repost via file upload
   - This may be necessary if you want to add / edit categories or distances
